Mailing List FAQ

Hello Everyone,

I have created a Frequently Asked Questions (FAQ) for our LA CoDA Mailing Lists. I hope it makes things easier when you have questions or issues with our mailing lists.

 

Q:  LA CoDA uses Mailman. What is MailMan?

A:  Mailman is what LA CoDA uses for our mailing lists. Mailman is free software for managing electronic mail discussion and e-newsletter lists. Mailman is integrated with the web, making it easy for users to manage their accounts and for list owners to administer their lists.

Mailman has been around for many years and is still being used by major universities around the country. It is a very robust and reliable system.

Q: What are the LA CoDA Mailing Lists and what are they for?

A: LA CoDA has 3 Mailing Lists. They are:

  1. announcements@lacoda.org: Anyone can sign up for this mailing list and anyone can post to this mailing list. Emails sent to this list will go to all LA CoDA Members. It is used for announcements and upcoming events. It is not used for LA CoDA Business.
  2. lacodaofficers@lacoda.org: This list is only for LA CoDA Officers and Committee Chairs. This list is for business matters affecting officers and LA CoDA.
  3. lacc@lacoda.org: This list is only for officers, committee chairs, and GSR's. This mailing list is for business matters affecting LA CoDA.

Q: How do I join announcements@lacoda.org?

A: Because anyone can join this mailing list, Mailman has been configured so you can do this yourself.

First, send an email to announcements-join@lacoda.org.  Don't put anything in the subject or the body of the email you are sending out.

Second, within minutes you will get an auto-generated email back from Mailman with a registration code. All you have to do is just reply to this email. You don't have to do anything else. Mailman sends you this email to prove you are not a spammer.

Third, within minutes, you will get an email back from Mailman telling you that you have successfully joined the mailing list. If you didn't receive the confirmation email check your spam/junk folder. If the welcome email is not in there reach out to the webmaster for assistance. Q: How do I join lacc@lacoda.org?

A: Because this mailing list is only for LA CoDA Officers, Chairs, and GSR's a person applying to this list must be manually authorized by the Webmaster before they get added to this list.

  1. Send an email to lacc-join@lacoda.org with nothing in the subject line or body of the email.
  2. The webmaster will receive an email stating that someone wants to join this list. The webmaster will then confirm that this individual is an LA CoDA Officer, Chair, or GSR.
  3. If the person is a member of this group, the webmaster will then authorize the email account to be added to the mailing list.

The person will then get a welcome email from Mailman telling them they are now a member of this list. If you didn't receive the confirmation email check your spam/junk folder. If the welcome email is not in there reach out to the webmaster for assistance. Contact information is at the bottom of the page.

Q: How do I join lacodaofficers@lacoda.org?

A: Because this mailing list is only for LA CoDA Officers, a person applying to this list must be manually authorized by the Webmaster before they get added to this list.

  1. Send an email to lacodaofficers-join@lacoda.org with nothing in the subject line or body of the email.
  2. The webmaster will receive an email stating that someone wants to join this list. The webmaster will then confirm that this individual is an LA CoDA Officer.
  3. If the person is a member of this group, the Webmaster will then authorize the email account to be added to the mailing list.
  4. The person will then get a welcome email from Mailman telling them they are now a member of this list. If you didn't receive the confirmation email check your spam/junk folder. Q: When I send an email to a LA CoDA Mailing List how is it supposed to work?

A:

  1. You compose and send an email to the list.
  2. You then get an auto-generated email saying your message to the mailing list awaits moderator approval.
  3. The Webmaster gets an email from Mailman telling them there is an email they need to approve.
  4. The Webmaster logs into Mailman and confirms its a legitimate email and approves it.
  5. The email is then released to the mailing list.
  6. You then get an auto-generated acknowledgement email from Mailman telling you that the email has been acknowledged and has been sent to the mailing list.

Q: Can I send email attachments to the mailing list?

A: Yes you can. The maximum size is 10 Megabytes. If you sent an email to the mailing list and the attachment was stripped off, then Mailman removed it thinking that it was a possible virus. If this happens, reach out to the Webmaster. He/She can assist in getting the attachment sent out to the mailing list. Contact information is at the bottom of the page.

Q: I sent an email to a LA CoDA Mailing List, but I get an email back saying its moderated (held). What does that mean?

A: All email accounts for all 3 LA CoDA Mailing Lists are moderated, even the Webmaster's email account. The Webmaster has to manually release all emails sent to all mailing lists. All emails are moderated for a number or reasons. Emails are moderated to protect people on the list from getting junk emails, or protect people from receiving inappropriate messages. This means that an email you send to the list may take some time to show up on the list because the Webmaster has not authorized it yet.

Q: How do know that I am an active member of a LA CoDA Mailing List?

A: The following is a way to check without sending test emails to the mailing list itself.

  1. For the Announcements Mailing List, send an email to: announcements-request@lacoda.org with the word "help" (no quotes) in the subject line. Don't put anything in the body of the email.
  2. For the LA CoDA Officer's Mailing List, send an email to: lacodaofficers-request@lacoda.org with the word "help" (no quotes) in the subject line. Don't put anything in the body of the email.
  3. For the LA CoDA Mailing List, send an email to: lacc-request@lacoda.org with the word "help" (no quotes) in the subject line. Don't put anything in the body of the email.

Within minutes you will receive an automated email back from Mailman.

This will tell you two things: (1) you that you are an active member of that specific mailing list, and; (2) the mailing list itself is up and running.

If you don't get a response email back from Mailman, then check your junk/deleted items folder. If its not in there, and you know you should be a member of a specific mailing list, then reach out to the Webmaster for assistance. Contact information is below.

Q: When I send an email to a mailing list people are saying that they aren't getting them. What do I do?

A: First make sure you sent the email to the list and make sure that the email has been released by the Webmaster. If both are true, then reach out to the Webmaster and he/she will be able to help in troubleshooting your issue. The Webmaster has access to a tool that can track your sent email/s and figure out where it ended up.

Q: Somebody told me that they sent an email to the mailing list, but I never got it. What could be wrong?

A: This seems to be the biggest issue lately with our mailing lists. First, check your junk folder and deleted items folder for your email account. If its in one of these folders you will need to change your email account settings to receive emails from the mailing list as safe emails. There are different email accounts that everyone uses: gmail, yahoo, hotmail etc. Each one has a different process for making these changes. You will need to Google how to make these changes.

Q: How do I unsubscribe from a LA CoDA Mailing List?

A: This process can also be done by Mailman automatically. These instructions will work with all 3 LA CoDA Mailing Lists.

  1. Send an email to the mailing list you are a member of:
    For Announcements it will be:announcements-leave@lacoda.org
    For LA CoDA Officers it will be: lacodaofficers-leave@lacoda.org
    For LA CoDA it will be:  lacc-leave@lacoda.org. Don't put anything in the subject line or body of the email.
  2. Within minutes you will receive an email from Mailman, with an unsubscribe code asking to confirm that you want to leave the mailing list.
  3. All you have to do is just reply to this email.
  4. Within minutes, you will then get a confirmation email from Mailman that you have successfully been unsubscribed from the mailing list. If you didn't get the email check your junk/spam/deleted items folder.

Q: I am the new chair of a LA CoDA Group and I have a LA CoDA Chair Email Address, how and where do I access it?

A: In short, you can't, it's not a real address. Your CoDA Chair Email Address is an alias email/fake forwarding account. Below is an explanation of the difference between a real email account and an alias/fake forwarding email account.

Email Account: A real email account enables you to send, receive, and access your email from Web-Based Email or using a client application such as Outlook.

Email Forwarding Account(email alias/fake): An Email forwarding Account allows you only to direct incoming messages from one email address (alias/fake email account) to another real email account. For example, Suzy Smith was setup by the Webmaster with newchair@lacoda.org (email alias/fake account) that forwards emails from people to her real email account suzy_smith556@yahoo.com.

The newchair@lacoda.org address does not technically exist. There is no actual mailbox for it. If someone sends an email to newchair@lacoda.org, Mailman knows to re-direct it to Suzy Smith's actual real email account. The only downside with this setup is that when Suzy Smith replies to an email sent to newchair@lacoda.org the receiver will see her real email account.

Q: I want to reply using my LA CoDA Email Account. How do I do that?

A: The Webmaster has been told that this can be done with a Gmail Account. You can Google for the instructions. If you can't find the instructions or can't get it to work properly the Webmaster will not help you. The Webmaster does not work for Google.
